Child Protection Policy

Diddy Dolphins Swim School recognises and accepts its responsibility to safeguard the health and welfare of children. It is essential that children and young people participating in our swimming lessons and other pool activities are able to do so in a safe and secure environment.

As a SWIM ENGLAND Swim School we are bound by the policies of the SWIM ENGLAND referred to in their Child Protection guidance “WAVEPOWER”. Full details can be found on

Recruitment and Training of Staff

Diddy Dolphins Swim School recognises that anyone may have the potential to abuse children in some way and that all reasonable steps are taken to ensure unsuitable people are prevented from working with children:

·         All staff complete an application form which will elicit information about an applicant’s past and a self-disclosure about any criminal record.

·         Consent is taken from an applicant to seek information from the Criminal Records Bureau.

·         Teaching staff are required to attend recognised Continual Professional Development (CPD) training courses which include child protection awareness training, to ensure the development of a positive culture towards good practice and child protection.

 

It is not the responsibility of anyone working in Diddy Dolphins Swim School to decide whether or not child abuse has taken place. However, if you would like to raise a matter with us regarding our child protection policy or any other issue regarding the wellbeing of a child under our supervision, please contact Alexis Hall who is the owner of Diddy Dolphins Swim School.

Data protection laws are changing

In providing you our services, we receive and use personal data about you. We want to ensure that we maintain your privacy and keep your data safe, therefore we have updated our privacy notice below to explain how we collect, store and use your personal data.

1.    What information will be collected from you and how?

To book onto any Diddy Dolphin swimming lesson, an initial enquiry can be made by filling out a form on our website ‘www.diddydolphins.co.uk’ which will ask you to provide your name, child’s name, email address and phone number to process an initial enquiry to join our lessons. If any enquiries are made by telephone or our Facebook page, we may keep a record of the correspondence. We need to know who you are and how to contact you, we ask all parents and carers to complete a booking form at the start of you joining us for lessons. The booking form is sent by email at the start and printed once completed

2. What are the legal grounds we rely on to process your data?

We can only use your personal information where it falls into one or more categories. Diddy Dolphin Swim School relies on a few different legal grounds to process your data:

It is necessary to the fulfilment of a contract we have with you;
It is our legitimate interest to do so and it is not against your rights;
You have provided your consent to the processing.

 
3. How we use your information

All information we take from you at the start of your swimming with us will be held securely on a PC in an access database that is NOT backed up to the Cloud or online servers. Your address, children’s information (such as DOB, health conditions, swimming awards) will only be viewable by swimming teachers when necessary and no third parties. The paper booking form will be kept in a file which is always kept securely by Alexis Hall.

Your child’s name is added to our paper poolside registers which are shredded at the end of each term. Your child’s name and awards are also provided to the teachers, so they may assess badges. Badge and class lists are emailed to teachers each term

Your mobile phone number is stored securely on the PC on a spreadsheet and also added to a telephone list to send outs bulk text messages which allows Alexis Hall to contact you for pool closures, invoice reminders, lesson specific info etc.


4. Safeguarding your personal data

We take the protection of personal data very seriously and we will maintain appropriate safeguards to ensure the security, integrity and privacy of your information. We restrict access to your personal data to those employees who need to know that information to provide products or services to you. Those persons are also subject to a duty of confidentiality  

 

5.    How long do we hold your information for:

 Paper and computer information connected to the provision of any swimming lessons is retained for seven years to meet current HMRC requirements.  Any information connected with enquiries but not resulting in a contract for the provision of swimming lessons is disposed of at reasonable intervals.

If you already have submitted information that you do not wish us to have or if you think that Diddy Dolphins Swim School has data about you that you don’t want us to use or that is incorrect please contact us via email at diddydolphins@yahoo.com and the information will be corrected as soon as possible or removed from our PC and spreadsheet as per your request


6.    Your Legal Rights

 Subject to applicable law, you have the right to Access your personal data or request its deletion

We may update this notice from time to time by publishing a new version on our website. We will endeavour to contact you regarding changes to this privacy notice, where possible and appropriate.
